Privacy policy

At Artificialss we respect your right to informational self-determination. This policy explains what personal data we process when you use artificialss.ai and its forms, for what purpose, with whom we share it and how to exercise your rights, in line with the Law on the Protection of Persons regarding the Processing of their Personal Data (Law No. 8968) and its regulations. This English text is a courtesy translation; the Spanish version prevails.
1. Data controller
The controller is Artificialss, based in Costa Rica, which operates artificialss.ai. For any privacy matter you can write to us at info@artificialss.ai.
2. What data we process
Depending on how you use the Site, we may process:
- Contact and request data, when you fill in a form: name, email address, phone (if you give it), company or website, and the content of your message, project or inquiry. Depending on the form, also data you choose to provide, such as project budget and timeline, sector, type of service, nationality, residency category, current status in Costa Rica, investment range or urgency in legal requests, organization, course of interest and number of participants for training.
- Job applications: name, email, area, experience, portfolio link and message.
- Notification or information requests: your email address and the page language.
- Technical data: IP address and request data, used temporarily to limit repeated form submissions and protect the Site from abuse, and processed by our hosting and network provider.
- Analytics and performance data (only if you accept them): page views, usage events (for example, clicks and language changes), error messages and performance metrics.
- Browser preferences: language, theme (light or dark) and your cookie choice, stored on your own device.
We only ask for what is needed to handle your request. We recommend not including sensitive information in forms unless necessary.
3. What we use the data for
- To answer your inquiries, prepare proposals and handle service, training or job requests.
- To send you the information you asked for, for example notices about a product.
- To protect the Site from abuse and keep it secure.
- To measure the Site's usage and performance in order to improve it, only with your consent.
- To comply with legal obligations.
We do not use your data for automated decisions with legal effects on you or to build advertising profiles.
4. Legal basis and consent
Processing is based on your informed consent (article 5 of Law No. 8968), which you give by voluntarily submitting a form for the stated purposes, or by accepting analytics in the cookie notice. You may withdraw it at any time, without retroactive effect. Before collecting data we inform you of its existence, purpose, recipients, whether answers are mandatory or optional, and your rights.
5. Who we share data with
We do not sell or commercialize your personal data, and we do not transfer it to third parties unless you expressly authorize it or the law requires it (article 14 of Law No. 8968). To operate the Site we rely on providers that process data on our behalf:
- Google LLC (Firebase): storage of the requests submitted through forms and, if you accept, analytics and performance.
- Cloudflare, Inc.: hosting and delivery of the Site, and network protection.
If you request legal services, your request may be passed to the independent professional who would handle it, solely to reply to you. These providers may process data outside Costa Rica, mainly in the United States; we aim to use providers with adequate security measures.
6. Confidentiality of your contact information and of our customers' data
The contact information you enter in our forms (name, email, phone, company and the content of your message) is confidential. We use it only to handle your request and for the purposes we told you about; we do not publish it, sell it or use it to send you commercial messages without your authorization.
The same applies to our customers' data and to information about their projects, documents and business that we learn while providing services: we treat it as confidential, only the people who need it to provide the service can see it, and we do not share it with other customers or third parties, except with providers that help us operate the service under our instructions or where the law requires it.
We protect this data with the security measures described in this policy and with the duty of confidentiality that Law No. 8968 places on everyone involved in processing (article 11).
8. How long we keep data
- Form requests: as long as needed to handle and follow up on them, and afterwards until you ask for deletion.
- Technical rate-limiting data: temporarily.
- Analytics data: according to the retention periods configured in the tool.
9. Security and confidentiality
We adopt reasonable technical and organizational measures to protect data against alteration, loss, and unauthorized processing or access (article 10 of Law No. 8968), including encrypted communication (HTTPS) and restricted access to systems. Those involved in processing are bound by a duty of confidentiality (article 11). No system is completely invulnerable; if a breach affecting your data occurs, we will act in accordance with the law.
10. Your rights
Under article 7 of Law No. 8968, you have the right to:
- access your personal data and learn its purpose and use;
- correct or update inaccurate or incomplete data;
- request deletion of your data where appropriate;
- withdraw the consent you gave, without retroactive effect;
- consent or not to the transfer of your data.
We will handle your request free of charge and respond within five business days of receiving it. Write to us at info@artificialss.ai stating your name, the right you wish to exercise and the information needed to identify you. We may ask for additional information to verify your identity.
11. Complaints to the authority
If you believe your rights have not been honored, you may file a complaint with the Agencia de Protección de Datos de los Habitantes (PRODHAB), under article 24 of Law No. 8968 (https://www.prodhab.go.cr).
12. Minors
The Site is not directed to people under 18 and we do not knowingly collect their data. If you believe a minor has given us data, write to us so we can delete it.
13. Changes to this policy
We may update this policy. The current version is the one published on this page with its update date; for material changes we will give visible notice.
14. Language
This policy is published in Spanish and English. In case of discrepancy, the Spanish version prevails.
